Villa4UFlorida Booking Terms and Conditions are as follows:

Information that you need to know about your rental home:

Please ensure that you read and understand the following terms and conditions regarding your rental accommodation.  
If you have any queries please do not hesitate to contact us.

The rental contract is between Villa4UFlorida and the Party leader.  The party leader must accept these terms and conditions on behalf of all persons in the party. A Contract between the two parties exists when an initial down payment has been received and a confirmation booking number has been generated by Villa4UFlorida.

Alterations to dates

Any alterations to dates of the booking will be accepted only if the requested property is available for the new dates. 
A $50 administration fee will be applicable for every amendment to any booking.
Should a change to a property of a different size (be it larger or smaller) be requested after the contract has been formed an administration fee of $50 will be applicable and will only be possible if another property is available. Additional fees may be applicable if a new booking cannot be found for the original accommodation.

Cancellation by Guests

You must inform us immediately if you wish to cancel your reservation.
This is to be confirmed by written notice.
Please note that the original downpayment or any other monies paid will be forfeited on a sliding scale.
If you cancel your reservation at any time then the down payment charged will be automatically forfeited.
If you do not show up on your arrival date full payment is due.  No refunds will be given – No exceptions.

8 weeks or more the cancellation charge will be the down payment made to secure the home
8-5 weeks prior to arrival 75% of your total reservation will be charged
4-0 weeks prior to arrival 100% of your total reservation will be charged

All attempts will be made to re-let the home, however, if this should prove to be unsuccessful then the full balance will be due and no refund will be given.

AMENDMENTS TO ANY RESERVATION MAY INCUR AN ADMINISTRATION FEE OF $50.00.

Cancellation by Villa4UFlorida

As with most privately owned rental properties, there are times when they become unavailable at short notice. In the event that the property you have requested becomes unavailable for any reason we reserve the right to provide you with alternate accommodations of equal or greater value.

In the event of circumstances beyond our control requiring us to cancel a reservation, i.e. including acts of God, civil disturbances, riots, flood, drought, fire and legislation, only repayment in full of any monies paid in respect of the reservation will be made.  We will do everything in our power to find suitable alternative accommodations, however, we cannot accept liability whatsoever in respect to any loss or damage by the renter in these circumstance.  This does not affect your statutory rights as a consumer. We recommend that travel insurance is purchased to cover costs incurred in these circumstances.

Check In 

Check in time is After 4:00 p.m. on the day of arrival - 
Upon entering the home please check over your home thoroughly, read the information in the welcome folder, and contact our offices immediately with any concerns.  If you do not get an immediate answer please do leave a message and we will contact you ASAP.  If your call is urgent or you have an emergency please call 352 613 0710.

Check Out

Check out time is Before 10.00 a.m. on the day of departure
When departing the home. Please ensure that all windows and doors are locked and all lights and fans are turned off.  Place the air conditioning thermostat at 75 degrees, place the key back in the lockbox. (where applicable).  Do NOT exit through the garage door – if it should be found that the front door is double locked charges may apply. 
Early check in or late checkout must be agreed in advance or additional charges may apply. Please call two days prior to arrival to confirm if an early check in is available even if this has been agreed prior to your arrival date.

Cleaning

Our housekeeping services are very stringent.  We strive to make every home a cleaning paradise.  If for any reason you encounter a cleaning omission please report to our offices within 24hours of arrival, failure to do so will result in no liability being accepted in respect of subsequent claims received.

Force Majeure

We will not be liable for loss or delay caused by any of the following: strikes, riots, political unrest, hostilities, war or threat of war, terrorist activity, industrial disputes, fire, flood, hurricanes technical or weather problems with transport, aircraft grounding, closure of airports or ports, weather conditions or any other event beyond our control. We strongly recommend that guests take out insurance for these eventualities.

Grill

Please note that charcoal BBQ grills are not allowed. If you require a grill please contact us as we can supply a gas grill for the duration of your stay at a charge. (some of our homes supply a gas BBQ but this is by no means a guarantee and is accommodation specific). Please ask in advance if your home has a BBQ already in situ. 

Guests Responsibility

All guests staying with Villa4UFlorida are expected to treat the home in a proper manner and are expected to behave appropriately by avoiding excessive noise or nuisance to other community residents. State and Local bylaws must be adhered to – nude or topless sunbathing is strictly prohibited.

Hot Water

Every home should have sufficient hot water.  The temperature of the water is governed by the State of Florida.  Please do not attempt to adjust the boiler or interfere with this in any way or charges will apply.  If there is a problem with the water please report to the office immediately. Failure to do so will result in no liability being accepted in respect of subsequent claims received.

House Alarms

If you are staying in one of our homes with an alarm system – this MUST be set when departing the property. Ensure all doors and windows are completely closed before vacating the property. If this alarm is not set correctly and the alarm sounds the Sheriff may be called out – in this event the Sheriff’s department charge for a call out. This will result in a charge to the guest at a minimum rate of $100.

Information folder

Each home should have an information folder with guidance on your home – this has been prepared to aid you in the use of your vacation home. The telephone number and address of your home will be on the front page of the manual. Please report to the office if this is not immediately available in the home.

Keys

The key must be left in the lockbox at all times.  Should maintenance be called for whatever reason and the key is not in the box this may result in the work not being completed and a false call out charge being levied. If a key is lost or misplaced there will be a minimum charge of $75.  However, if a full re-key is required the minimum charge will be $150.

Limitation of Liability

The Guest must ensure that Children are supervised at all times. It is the policy of the Company that all Children under the age of 18 years are not left in rental accommodation un-supervised during the rental period.

Villa4UFlorida and/or the property owner do not accept liability for equipment failure and or services in the property. In the event of failure of equipment, the guest must notify the company within one working day such that the company may elect to affect a remedy to the failure.

Villa4UFlorida and/or the  property owner do not accept liability for lost or stolen personal property of the guest from the property during the rental period. The company provides information and advice in the Information folder to the guest in an advisory capacity only, with no guarantee or promise of security, even where the guest makes use of any advice given by the company or its representatives. In the event that property of the guest is lost or stolen, the guest should advise the appropriate authority first, and then the company, of the lost or stolen items. The Company will either make good and secure the property, or will transfer the guest, availability permitting, to another property, where the original cannot be secured, and this will be the extent of its liability to the guest under such circumstances.

Villa4UFlorida or its representatives may enter the property at any time, without notice, for the purposes of protection and/or maintenance of the property. Wherever possible, the company will provide notice to the guest prior to such entrance.

Villa4UFlorida and/or the property owner accept no liability for personal loss or injury to the guest during the rental period. The guest must ensure that they have adequate insurance cover. The company provide information and advice in the Information Folder to the guest in an advisory capacity only, with no guarantee or promise implied.
Villa4UFlorida and/or the property owner do not accept any liability for the acts or omissions of any agent. These include but are not limited to, airlines, car-hire companies, travel agents, ticket agents, homeowners, or utility providers.

Villa4UFlorida does not accept liability for removal of the property from the marketplace, or transfer of the property to another company by the owner that results in the property becoming unavailable for the rental period. Wherever such an event occurs, the company will offer the guest a suitable alternative accommodation of equal or better quality, subject to availability. In the event that the guest refuses the offered alternate property, then the guest may cancel the booking, and the company will refund the total rental fee, less the applicable cancellation fees. 

Villa4UFlorida and/or the property owner do not accept liability for acts of violence, nature, fire, flood, war, civil disobedience, riot, or other force majeure that may have a deleterious effect on the guest.

Villa4UFlorida, it’s owners and their agents accept no responsibility or liability for any loss or damage or alterations to the terms of this booking caused by events beyond their control including, but not restricted to, war, civil commotion, flight delays or cancellations, technical difficulties with transportation, alteration or cancellation of schedules by carriers, adverse weather conditions, fire, flood, industrial dispute or any other event beyond their control.

Failure to comply with any of the terms will, at the sole discretion of Villa4UFlorida, result in the eviction of the guest from the property, without any compensation or refund.

Maintenance

From time to time we do require access to the home for minor maintenance issues.  We reserve the right to enter the home at any time for authorized personnel only. Where possible prior notification will be given. If during your stay you encounter a maintenance issue please report to the office immediately.  Any maintenance issues reported after departure will result in no liability being accepted in respect of subsequent claims received. If for any reason you have an issue or are unhappy about our services in any way, we ask that you inform us immediately failure do so will result in no liability being accepted in respect of subsequent claims received.

Office Hours

Please refer to the office hours in your property folder as this will have the most up to date information.

Peripherals

Gas grills, pak n’plays and highchairs, all incur sales taxes at the county and state tax rate.  These items are sometimes provided by the Homeowner but may be rented for your vacation time. Please ask for further details. If you order a ‘crib’ it is important to note that we only provide a small “pak n play” and linens are not provided. Please remember to bring some with your luggage.

Pest Control

Homes are regularly pest controlled. However, it is pest control, not pest elimination, occasionally an animal may enter your home for warmth or comfort.  Please do not be alarmed, please call our offices and this will be dealt with efficiently and expediently.

Pets

Please note that pets are strictly not permitted in our homes and it if it is discovered that a pet has been in a home after departure there is a minimum charge of $175.00 to cover the cost of professionally cleaning all carpets and upholstery. There is an additional charge should a pest control company’s services be required. The reservation will be terminated if pets are found in any of our properties without any refunds. Full security deposit will also be retained for extra cleaning services.

Pet friendly homes

We do have a limited number of ‘pet friendly homes’ - special exceptions apply to these bookings, extra clean up fee will be charged together with a daily rate for pet occupancy. This will be determined and confirmed at the time of booking. Typically this is a $300 fee, $250 of which is refunded after the stay if there are no incidents involving the pet that will incur additional costs to Villa4UFlorida.

Pool Heating

Pool heating must be booked in advance of arrival to be guaranteed – not all properties have a pool heater. There is a supplemental charge of $25 per day for electric pool heaters and $35 per day for gas pool heaters. Pool heating, if required must be ordered for the entire length of your stay and will not be available for just part of your stay – unless you are staying for several weeks, in which case special arrangements can be made.

During winter months pool heaters will generally heat the pools to around 85 degrees Fahrenheit. If the air temperate falls below 55 degrees or less, the water temperature may not reach a comfortable temperature. We regret that in these circumstances a refund of part or all of the monies paid is not possible and your understanding of this important matter is an essential part of the reservation. Please also note that if pool heat is ordered on day of arrival it may take some time for the pool to reach a comfortable temperature. Again, no refund will be given for the time the pool is warming up.

Pricing

We reserve the right to increase or decrease rental or peripheral prices at any time. Pricing will be confirmed at the time of booking. This pricing is offered subject to our conditions of payment being strictly adhered to and does not include any amendments made by the client to their own personal vacation commitments.

*Please note there will be a 3.25% processing fee on all credit card payments.*

If you have not paid the balance in full prior to arrival, you must report to the office the next business day to complete the payment process. If you do not make arrangements, the credit card previously provided will be billed. The 3.25% credit card processing fee will be applied to complete this transaction.

Property Occupancy Limits

Florida Law has strict occupancy limits for a vacation home. These are as follows: 
3 bed home 8 persons 
4 bed home 10 persons 
5 bed home 12 persons 
6 bed home 14 persons 
7 bed home 16 persons 

The licensing inspector can carry out spot checks on homes at any time for any infringement of DBPR laws. In the event that this does occur and it is discovered that a higher occupancy than permitted has taken place you will be required to vacate the property immediately. In this event there will not be any refund of any monies paid – no exceptions. Only guests listed on the booking form are authorized to stay in the home. Understand that your booking may be terminated, or, you will be charged $100 per person extra up to the legal limit of the home for unauthorized guests.

Registration

Please ensure that all registration information is completed fully.  This is a requirement of Florida Law.

Smoking

For your convenience all our homes are non-smoking properties. If you smoke we request that you do so outside on the patio. In the event that smoking has occurred in the home during your stay there will be an automatic minimum charge of $175.00.

The Property

Please leave the accommodation in the condition that you find it. If excessive cleaning or trash removal is required a charge will be applied to the credit card provided. Please also note that where a lockbox has been provided. The key must be left in the lockbox, when you are not in the property. We do require access to the property at all times as minor maintenance work may be required to be carried out during your stay.

Parking at The Property

Please note that some communities have strict parking policies with no on street parking allowed and towing may take place if your vehicle is not parked in accordance to the communities guidelines. If you are travelling to one of our villas with more than one vehicle and you are concerned about this, it is advised that you seek clarification before reserving your home as to the communities guidelines. Parking spaces for your vehicle is not the responsibility of Villa4UFlorida.

Theft or Damage of Property In The Villa

Please remember that everything in the villa is the property of the owner of the property and has been provided to help make your stay more enjoyable. Please do not take any item, no matter how small, as not only does this detract from the property for the next guest, it is also theft and will be treated as such. A $250.00 hold will be held on your card during your stay to cover any incidentals.
 
Trash


Trash days are dependent on the local county in which your home is located. Please check the information provided inside your home regarding trash collection.  Excessive trash or trash not put out for collection during your stay may incur additional charges after your departure.

TV

The owner of your home has supplied a TV for your convenience. Some homes may have tv’s in every room and some may not, some may be flat screen, some may not.  Please check prior to arrival at your home if this is a necessity for your stay.  We do not have control over the number of channels that are available in each home as this is set by each individual owner.

What to Bring 

Although we do try to things to make your stay as comfortable as possible. There are things that a guest might desire which are not provided. For example you may wish to pack your own washcloths and beach towels as these are not generally provided. Please be careful not to use the bathroom towels by the pool as the pool chemicals can bleach them. Since unlike hotels, we do not have a supply closet down the hallway, anything that gets used up cannot be re-supplied such as laundry or dishwasher detergent, soap, trash bags, and toilet paper, (an initial supply of which is left in each bathroom). There is a full service grocery store within an easy drive of each of our homes where these items can be purchased.

We work hard here at Villa4UFlorida to please you, but nothing is forever perfect. As with all properties our homes can encounter unexpected maintenance problems from time to time. If there is a problem with your home please contact us immediately. You can reach us on 407 965 5093. In an emergency please call 352 613 0710. We will be happy to listen. Our policy is to put right anything that is wrong within a reasonable time. It is a booking condition of ours that our liability in the event of our not being able to supply any requested extra is limited to the price paid for it. Upon checkout at the end of your stay, please inform us of any maintenance items that need attention so that we can have them put right for the next guests.

We invite you to let us know, whether good or bad, what your impression of our home was. We hope that you will be delighted at the standards and the value for money and if so we also hope that you will tell your friends about us!

We reserve the right under Chapter 509 to evict tenants should any of these conditions not be observed and any monies paid will be forfeited.
